Instructions for Delegates

Council is the AIA’s primary governing body, and its membership is described in Article V, Section 1 of the AIA Regulations. The following categories are all incorporated into Council membership:

  • Governing Board members
  • Chairmen of the Managing Committees of any American Schools founded by the AIA
  • Society Presidents
  • Society Delegates (as appointed by Society Presidents in accordance with Article V, Section 2)
  • Members-at-Large (as appointed by the President in accordance with Article V, Section 1)

All delegates must be members of the AIA, and must agree to comply with the Regulations pertaining to the Council in order to serve. Once appointed, delegates serve throughout the year and may be called upon to vote on issues and/or to participate in an emergency meeting between the annual Council meetings.

If you are planning to attend Council: 

  • Review the Council packet to familiarize yourself with the candidates and voting items.
  • Fill out the ballot you receive at Council check-in to make sure your vote is counted.

Note: As indicated on the agenda, ballots are collected at the beginning of the meeting.  If you arrive after ballots have been collected, your vote may not be counted.  Please plan to arrive on time. 

If you are not planning to attend Council: 

  • Submit an absentee ballot. You may not, under any circumstances, have another person fill out your ballot on your behalf.
  • Submit a limited proxy designation form. The role of the limited proxy is to represent you at Council if any additional nominations, amendments to the proposed changes to the Regulations, or other voting items that were not included on the absentee ballot are proposed. A limited proxy can be any AIA member in attendance at the Annual Meeting. You may also designate the AIA President as your Limited Proxy (Jodi Magness, North Carolina Society).

Absentee ballots and limited proxy designation forms are due Friday, December 14, 2018.

Instructions for Limited Proxies 

  • Review the Council packet.
  • At Council check-in, you will receive a paddle that indicates how many votes you hold in total (one vote for each delegate who appointed you as a limited proxy). Use this paddle only if a floor vote is called during the meeting. When the AIA President asks for a show of hands, please hold the paddle up high so that the counters can see you clearly.
