Part III: I'm A Council Delegate. What's Next?

Renew Your Membership

All Council Delegates MUST be active members of the Institute. If you have questions about the status of your membership, please contact the AIA Membership Department at 857-305-9351 or membership@archaeological.org

Receive Your Packet

Electronic copies of the 2018 Council Packet will be emailed to all delegates on December 6, 2017. If you would like a print copy of the packet, you may request one by emailing Samantha Craig, scraig@archaeological.org.

Vote: If You Plan to Attend the Council Meeting

Your packet will include the Council agenda and all supporting materials, including an absentee ballot and statements from each candidate. Please familiarize yourself with the candidates and other ballot items before the Council Meeting, and bring your packet with you. You DO NOT need to submit the absentee ballot or limited proxy form.

When you arrive at the Council meeting, there will be a check-in line. You should present your badge to the staff at the front desk, who will confirm you are an appointed Delegate and give you a ballot.

Vote: If You Cannot Attend the Council Meeting

Your packet will include the Council agenda and all supporting materials, including an absentee ballot and statements from each candidate. You may fill out the absentee ballot and follow the instructions on how to return it to AIA Headquarters - by mail, email, or fax. You must submit your absentee ballot NO LATER THAN December 15, 2017, or it may not be counted.

You may also choose to appoint a limited proxy (this is optional, but recommended). A limited proxy can be any other Council member who plans to attend the meeting in person. You will still need to fill out and return your absentee ballot for your votes to be counted. A limited proxy cannot fill out a ballot on your behalf.

Their only role is to represent you in case there is a floor vote during the course of the meeting. This may include additional nominations, motions, or new business that requires Council approval. The limited proxy you select will be notified and given a paddle during Council check-in that indicates the total number of votes they hold.
